Award of Contract to CDW-G for Mimecast Email and Web Security Annual Renewal in the Amount of $37,300.00

BACKGROUND:
In April of 2020 the City of Joliet began using Mimecast to provide security for both email and web usage. Mimecast provides threat protection by checking email for threats before allowing that email into City systems. Mimecast also provides website filtering by blocking content that has been deemed unsafe or not work related.
CONCLUSION:
With an ever-growing risk of external threats to the City’s technology infrastructure it is critical to continue the use of Mimecast. Mimecast protects the City’s technology infrastructure in numerous ways and is a key piece of the City’s security plan.
In accordance with section 2-438 of the City of Joliet Code of Ordinances which states that purchases over $25,000.00 may be awarded without written specifications or bidding under certain circumstances. Three of these circumstances apply:
1. (a)Purchases which may only be practicably made from a single source;
2. (f)Purchases when authorized by a concurring vote of two-thirds (⅔) of the mayor and city council;
3. (g)Purchases of professional services.
The Sourcewell 081419 State of IL purchasing agreement was used to ensure the City received fair pricing for this purchase.
Sufficient funds exist utilizing the IT Contractual Services Budget (Org 04001000, Object 524200, $37,300.00).

Based on the above, it is recommended that the Mayor and City Council award a contract to CDW-G in the amount of $37,300.00 for the Mimecast Email and Web Security annual renewal.
