Award of Contract to Lenovo for the 2025 PC Lifecycle Program in the Amount of $76,372.70

BACKGROUND:
The City currently maintains a fleet of approximately 275 Lenovo laptops and 425 Lenovo desktops and additional applicable hardware such as docking stations, monitors and soundbars.
This item was recommended for City Council approval by the Communication, Technology and Information Systems Committee at the June 4, 2025 meeting.
CONCLUSION:
By utilizing a PC Lifecycle Program, the IT Department will replace laptops every 4 years and desktops every 5 years, in addition to replacing peripherals on an as needed basis.
To ensure competitive pricing the laptop and desktop equipment will be purchased using the US-MHEC-06302022 purchasing contract.
Section 2-438 of the City of Joliet Code of Ordinances states that purchases whose estimated cost is in excess of twenty-five thousand dollars ($25,000.00) may be awarded without written specifications or bidding under certain circumstances. Two of these circumstances apply:
(b) Purchases for additions to and repairs and maintenance of equipment owned by the City which may be more efficiently added to, repaired or maintained by a certain person;
(f) Purchases authorized by a concurring two-thirds vote of the Mayor and City Council;
Sufficient Funds exist utilizing the Information Technology Repairs and Maintenance budget (Org 04013000, Object 524300, $76,372.70)

Based on the above, it is recommended that the Mayor and City Council award a contract to Lenovo for the 2025 PC lifecycle program in the amount of $76,372.70.
